Setting Key codes for your Guests (Access Codes)

Set Key codes up for your accommodation which will display in your reservation reminder emails

Beta - You can now add key codes to each of your accommodations and they will only show within the bookings summary on the reservation reminder email.

To Set up a key Code

First you need to go to Account > Extensions and install the Access codes extension.

Then go to Accommodation > Access Codes

You will see this page, press add item.

A drawer will then pull out.

  1. Where is this item? Select the accommodation you want the code to apply to

  2. The name of the Lockable unit so if it's a Key safe box you would add this here

  3. Default Code Add the default code the guest needs to access the lockable unit

Press the Green Save button.

Setting up new codes for each reservation

Once you've set up the default code, you now have the ability to set up a different code for each future reservation.

Just click on Edit/Add Booking specific codes and you will see the screen below.

Here you can add unique codes to each booking if you want to.

Any booking which doesn't have a unique access code will use the default code.

We will advise you how many days ago the email was or sent or if it's in the future how many days until the email will be sent.

Adding new codes
If you want to add new codes to new reservations, you can do this by pressing the edit button on the first page here.

Emails

The codes can be sent in any customised email by using the following magic tag {{bookings_summary_with_access_codes}}

Customised emails can be set up by going to Account > Customised Emails and we recommend they are sent within the reservation reminder email which is designed to go out just before the guests stay.

Please Note: These codes are only sent by using the magic tag in customised emails they are not triggered in our standard emails.

Deleting and Amending Key codes

You can amend and delete key codes but please note that if you amend them after the reservation reminder email has been sent, this does not trigger a new email to send.
