Have you retained a guest's security deposit due to damage to your property? Perhaps you need to keep photographs of the damage as evidence, or attach a document explaining why the deposit was not refunded.
You can now upload images and PDF documents directly to a reservation, making it easier to keep track of important information and supporting evidence.
Whether it's photographs of property damage, signed documents, receipts or other reservation-related paperwork, you can attach these files directly to the relevant reservation and access them whenever you need to.
How to Attach a Document or Image.
Follow these simple steps to upload an attachment to a reservation:
1. Open the reservation
Call up and open the reservation to which you would like to add an attachment.
2. Locate the Attachments section
Scroll down to see Attachments section.
3. Upload your file
Click on the Attachments to add photos or PDF document.
You have two options:
Drag and drop: Select the photo or PDF document from your computer and drag it into the upload area.
Browse: Click on the Browse option to locate and select the file you would like to upload from your device.
4. Add a caption
Once your file has been uploaded, click in the caption field to add a description.
You can use the caption to explain what the attachment relates to. For example:
Damage to bedside table – Room 1 (if this a group booking).
Photographs of damaged glasses following checkout.
Proof of payment - EFT (when you record manual payments)
Adding a clear description in the caption makes it easier to identify the purpose of each attachment, particularly when multiple files have been uploaded to the same reservation.
5. View your attachments
Your uploaded files will be available within the Attachments section of the reservation and only visible to admins.
Why Use Reservation Attachments?
A handy way to keep everything together! All your supporting images and documents can now be stored within the relevant reservation, making them easier to find and refer to when needed.
If you want to remove the file you can easily do so by clicking on Delete.
